Grilling the Caterer
Depending on your location, you may or may not have to hire an outside caterer. If you select a hotel or another wedding venue, they typically cater the meals themselves; however, if you select on offsite venue, you will need to hire a caterer. No matter what type of caterer you work with, there are a number of key questions you should ask before making a commitment. Once you've found a caterer with all the right answers, make sure to get every part of your agreement in writing.

If you are hiring an outside caterer, you must make sure they have the proper amount of liability insurance to cover property damage, bodily injury, and accidents that could occur during and after the wedding as a result of alcohol being served. Most venues require this and will not let the caterer work at the site without it.
Questions to Ask
What questions should I ask the caterer? Your questions will evolve to include more specifics once you book a venue and begin planning your menu. In general, the following questions apply to most caterers.
What is the final food price?
What types of meal service are offered?
What are my menu options? Do you have predetermined menus or may I create my own?
Do you provide bar service?
Is the catering service covered with proper insurance?
What will the ratio of staff to guests be? Will there be enough people to man the tables? Will those people be dressed appropriately for the occasion?
Will they make provisions for guests with special dietary needs?
Will meals be provided for the disc jockey or band, photographer, and videographer? What do you serve them and at what cost?
What is the price difference between tray-passed hors d'oeuvres and a stationary display?
Can you provide a wedding cake or other dessert?
Is there a cake-cutting fee?
Can you inspect rental items (linens, dinnerware, glassware, etc.)? Will you unpack and repack them for the rental company?
Does the caterer's fee include gratuities for the staff? If not, what is customary?
What is the fee for coatroom attendants, bartenders, and others who may be working at the reception?
What is the cancellation and refund policy?
What does the caterer do with leftover food?

Weddings typically have a lot of leftover food, cake, and desserts. Contact a local food bank or shelter to see if they accept donations of your leftover reception food. There are strict regulations for this and transportation must be prearranged. Inquire early on to see if this is a possibility for your event.
