Making and Marking Copies
Government grants always tell you in the RFP how many copies to submit. They will also often tell you that the stated number is not required but “will facilitate review.” This is really just a nice way of saying, “Send us the exact number of copies we requested.” Foundations often do not say how many copies they'd like. Either call the program officer and ask, or submit one original packet.
Those agencies that require copies also require an original. Be sure that your original document is clearly marked as such. Use one or more of the following ways to indicate the original document:
Add a sticky note with the word “original” to the original document.
Print the original on stationery-quality paper and the copies on copy paper.
Add colored sheets to the top of each proposal, with one color for the original and another for all copies.
Attach a cover letter on organizational letterhead on the original document only. Do not attach a copy of the cover letter to any of the others unless it's requested.
If binding, add a note to the cover of the package. Or make one color cover for the original and different color covers for the copies.
