Your Role with the Client
A client may arrive at an event with grace and confidence and you barely need to spend a minute with her. Another client may arrive at an event a bundle of nerves. With this client you will probably spend the better part of the evening as a personal supporter. Whichever type of client you may be dealing with, be the perfect host and check in with the client throughout the evening.
Make the client feel comfortable upon arrival. Offer to hang her coat or take an umbrella. Let her know where her personal belongings will be kept in case she needs to access anything. If applicable, have her parking validated at the beginning of the evening to ensure a smooth exit. Finally, offer your client a glass of wine to calm her nerves.
Your client may arrive with a bit of prep work that she needs to finish. Perhaps the favor bags need to be transported into the venue. If your client has arranged for the place cards, she may need assistance arranging each one in alphabetical order. Enlist the help of a staff member to finish any last-minute details your client may have.
It is acceptable to settle any outstanding payments before the guests arrive unless prior arrangements have been made. After your client has been situated but before the guests arrive, offer to take this time to collect checks for the vendors.
As the host of the event, your client should be served second, after the guest of honor is served. Alert your staff who is the host of the event. By keeping hors d'oeuvres flowing past your client, you are establishing she is being taken care of. You are also establishing the quantity of food at the event. If your client is not taking food in order to socialize with his guests, make a plate of food and keep it in the kitchen. Escort him into the kitchen under the pretense of business talk and he may just stay for a bite.

Ideally the room should be set up upon client arrival. Vendor equipment should not be in sight when the client arrives. Production crews should secure any loose wires under a runner or with duct tape.
